The Complex AI Institute is being established as a non-profit company limited by guarantee in London, United Kingdom. Until incorporation completes, the founder acts as the data controller for the personal data described here. Contact for anything on this page: engage@complexai.org.
What this site collects
Browsing this site requires no account and sets no cookies. We do not run advertising or tracking pixels. We do count page views, using Vercel Web Analytics, which is served from this domain and sets no cookies: a visitor is identified by a hash of the request that is discarded after 24 hours. It records the page, the referring site, an approximate country and region, the browser, the operating system and whether the device is a phone, tablet or desktop. We see totals, never individuals, and nothing that would let us follow you to another site. One page carries an embedded TED talk. Its player is not loaded until you press play, so nothing reaches TED unless you choose to watch; once you do, TED and its video host set their own cookies under their own policies, over which we have no control. Our hosting provider keeps standard, short-lived server logs (IP address, pages requested, browser type) for security and capacity purposes, as almost every website's host does.
The newsletter
If you subscribe to The Complex Brief, we hold your name and email address for one purpose: sending you that briefing. The list is a private Google Sheet in the Institute's Google Workspace, written to directly by the sign-up form. No mailing platform, analytics service or data broker sits between you and that sheet. We will name the delivery provider here before the first issue is sent. Every issue carries an unsubscribe link, and unsubscribing removes your address from the list. We do not sell, rent or share subscriber lists with anyone.
Email you send us
If you email us (enquiries, nominations, corrections, press), we hold that correspondence to deal with your request and to keep a record of the relationship. We do not add you to any mailing list because you emailed us.
The enquiry form
The form on Work With Us collects your name, email address, the type of enquiry, your message, and optionally your organisation and role. It exists to let you reach us without opening a mail client, and it does one thing with what you write: sends it to us as an email.
Nothing is stored on this site itself. The submission goes to the Institute's own Google Workspace, where it is emailed to us and a copy is filed on a private sheet so that an enquiry is never lost to a failed message. No third-party form service, marketing platform or analytics tool sits in between. From that point the enquiry is ordinary correspondence and is handled as described above. We do not add you to any mailing list because you used the form.
The form carries no captcha and no third-party script. To deter automated submissions it uses a hidden field that people never see and a check that the form was open long enough to have been filled in by a person. Neither is used to profile you, and neither leaves this site.
Legal basis and your rights
Under UK data protection law, we rely on consent for the newsletter and on legitimate interest for handling correspondence and running the site securely. You have the right to ask what we hold about you, to have it corrected or deleted, to object to our processing, and to complain to the Information Commissioner's Office (ico.org.uk). One email to engage@complexai.org is enough to exercise any of these.
Retention and transfers
Newsletter names and addresses are kept until you unsubscribe. Enquiries and correspondence are kept for as long as the relationship they document. Our providers may process data outside the UK; where they do, they are bound by standard contractual safeguards.
Changes
Material changes to this policy will be posted here with a new effective date before they take effect.
